  • The necessary arrangements have been confirmed by our company and relevant service providers.
  • Any destination-specific requirements have been satisfied or appropriately scheduled.

A quotation or itinerary provided before confirmation does not guarantee availability or final pricing.

Customers are responsible for reviewing their booking confirmation, itinerary, inclusions, exclusions, and payment schedule before confirming a reservation.

4. Prices and Payments

All tour prices will be communicated in the currency specified in the quotation or booking confirmation.

Unless otherwise stated, package prices are based on the itinerary, group size, accommodation category, transportation, services, and inclusions described in the relevant proposal.

5. Cancellation Policy

Customers wishing to cancel a booking must notify Mission Nepal Holidays Pvt. Ltd. in writing by email or another officially accepted communication method.

Cancellation charges depend on the date of cancellation, the trip booked, the services already purchased, and the terms of relevant suppliers.

Unless a separate written cancellation policy is provided with the booking, the following general principles apply:

  • Deposits or advance payments may be non-refundable where they have been committed to suppliers or are otherwise non-recoverable.
  • Payments made for non-refundable flights, permits, visas, hotels, transportation, and special arrangements may not be recoverable.
  • Cancellation charges may increase as the departure date approaches.
  • Any eligible refund will be calculated after deducting applicable cancellation charges and non-recoverable expenses.

The specific cancellation schedule provided with a confirmed booking will take precedence over this general section, subject to applicable law.

We recommend that customers obtain written confirmation of the applicable cancellation and refund conditions before making payment.

6. Refund Policy

Where a refund is approved, Mission Nepal Holidays Pvt. Ltd. will process it using the original payment method where reasonably possible, unless another method is agreed upon.

Refund processing time may depend on banks, payment providers, airlines, hotels, and other suppliers.

Supplier delays may affect the time required to complete a refund. We will communicate relevant updates to the customer.

No refund will be guaranteed for unused services, missed activities, or early departure unless the applicable booking terms or circumstances require otherwise under applicable law.

Nothing in this policy excludes any refund or other right that a customer is legally entitled to receive.

7. Changes to Bookings and Itineraries

Customers must request changes to their booking in writing.

Changes to travel dates, passenger details, accommodation, transportation, or itinerary arrangements are subject to availability and may result in additional costs.

Mission Nepal Holidays Pvt. Ltd. reserves the right to make reasonable itinerary adjustments where necessary because of:

  • Weather conditions or natural events
  • Road closures, flight cancellations, or transportation disruptions
  • Government restrictions, permit conditions, or border closures
  • Safety, health, or security concerns
  • Supplier availability or operational requirements
  • Other circumstances beyond our reasonable control

Where practicable, we will notify customers of significant changes and seek to arrange reasonable alternatives.

We will handle any resulting refund, replacement service, or additional charge in accordance with the booking terms and applicable law.

8. Travel Documents, Visas, and Permits

Customers are responsible for ensuring that they hold valid passports, visas, permits, and other travel documents required for their journey.

Passports should meet the validity requirements of the relevant destination and immigration authorities.

For travel to Tibet, Bhutan, restricted areas, or other destinations requiring special authorization, additional documents, advance applications, and approval procedures may apply.

Mission Nepal Holidays Pvt. Ltd. may assist with documentation and permit arrangements where included in the booked package. However, approval remains subject to the relevant government or immigration authorities.

We cannot guarantee visa issuance, permit approval, or border entry.

Customers must provide accurate information and submit requested documents within the required deadlines. Additional costs arising from incomplete, inaccurate, or late documentation may be the customer’s responsibility, subject to applicable law.

9. Health, Fitness, and Safety

Customers must assess their ability to participate in the activities included in their chosen itinerary.

Trekking, high-altitude travel, remote-area journeys, and Kailash Mansarovar Yatra may involve physical exertion, changing weather, limited facilities, and other inherent risks.

Customers should consult a qualified healthcare professional where appropriate before undertaking physically demanding or high-altitude travel.

Customers must inform us of relevant mobility requirements, dietary needs, or other circumstances that may affect safe participation, to the extent necessary for arranging the trip.

Mission Nepal Holidays Pvt. Ltd. may recommend itinerary changes or decline participation in a particular activity where there is a reasonable safety concern.

Emergency evacuation, medical treatment, rescue operations, and additional accommodation may incur substantial costs. Customers should arrange suitable travel insurance that covers their planned activities, destination, altitude where relevant, medical expenses, and emergency evacuation.

10. Travel Insurance

Comprehensive travel insurance is strongly recommended for all customers and may be required for particular trips.

Customers should check that their policy covers the activities and destinations included in their itinerary.

For trekking, high-altitude journeys, and pilgrimage tours, customers should pay particular attention to medical treatment, emergency evacuation, trip cancellation, interruption, and repatriation coverage where applicable.

Unless explicitly included in a written package confirmation, insurance premiums and claims are the customer’s responsibility.

Mission Nepal Holidays Pvt. Ltd. does not act as an insurer and cannot guarantee the acceptance or payment of an insurance claim.

11. Kailash Mansarovar Yatra and Special Pilgrimage Tours

Kailash Mansarovar Yatra and other cross-border pilgrimage journeys are subject to special operational, health, immigration, and permit requirements.

Customers acknowledge that such journeys may be affected by:

  • Government authorization and travel restrictions
  • Border and route conditions
  • Weather and high-altitude conditions
  • Transportation availability
  • Religious-site access requirements
  • Health concerns and emergency evacuation needs

The itinerary and departure schedule may change because of circumstances beyond our reasonable control.

Mission Nepal Holidays Pvt. Ltd. will make reasonable efforts to coordinate the services included in the confirmed package and communicate significant changes to customers.

No specific border crossing, permit approval, route opening, or access to a religious site can be guaranteed where it depends on government authorities or other external circumstances.

12. Hotels, Airlines, and Third-Party Services

Some travel services are provided by independent suppliers, including airlines, hotels, transport operators, local guides, and other service providers.

Their services may be subject to separate terms, operational rules, and cancellation policies.

Mission Nepal Holidays Pvt. Ltd. will exercise reasonable care when selecting and coordinating suppliers. However, the responsibility for a supplier’s service, and any applicable remedy, will be determined by the relevant contract and applicable law.

We will assist customers in communicating with suppliers when reasonably possible.

13. Customer Responsibilities

Customers agree to:

  • Provide accurate personal, passport, and booking information.
  • Make payments within the agreed deadlines.
  • Follow local laws, immigration requirements, and permit conditions.
  • Respect local cultures, religious traditions, communities, and the natural environment.
  • Follow reasonable safety instructions from guides and trip leaders.
  • Behave respectfully toward fellow travelers, staff, and service providers.
  • Take reasonable care of personal belongings and travel documents.
  • Notify the company promptly of any problem affecting their trip.

Additional costs or consequences resulting from a customer’s failure to meet these responsibilities will be handled in accordance with the booking terms and applicable law.

14. Force Majeure

A force majeure event means an exceptional circumstance beyond the reasonable control of the affected party that prevents or materially disrupts the performance of travel arrangements.

Such events may include natural disasters, severe weather, epidemics, pandemics, armed conflict, civil unrest, government restrictions, border closures, strikes, or major transportation disruptions.

If a force majeure event affects a trip, Mission Nepal Holidays Pvt. Ltd. will make reasonable efforts to notify affected customers and explore practical alternatives.

Refunds, credits, rescheduling, and other remedies will depend on the applicable booking terms, recoverable supplier payments, the circumstances of the event, and applicable law.

This clause does not remove any rights or obligations that cannot lawfully be excluded.

15. Liability

Mission Nepal Holidays Pvt. Ltd. will exercise reasonable care and skill in arranging the services expressly included in a confirmed booking.

To the extent permitted by applicable law, we are not responsible for losses arising solely from circumstances outside our reasonable control, including third-party operational failures, government decisions, natural events, or a customer’s failure to comply with travel requirements.

Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation is prohibited by law, including any applicable consumer rights or liability for negligence where it cannot lawfully be excluded.

Customers are encouraged to report service concerns promptly so that we can attempt to resolve them during the trip whenever practicable.

16. Complaints and Dispute Resolution

Customers should report any concern about a travel service to their guide, trip leader, or company representative as soon as reasonably possible.

If the issue cannot be resolved during the trip, customers may submit a written complaint to Mission Nepal Holidays Pvt. Ltd., providing relevant booking details and supporting information.

We will review complaints fairly and make reasonable efforts to respond and resolve the matter.

If a dispute remains unresolved, the parties may pursue the remedies available under applicable law.

Where necessary for a booking, relevant information may be shared with hotels, airlines, guides, transport operators, permit authorities, immigration authorities, or other service providers.

We will take reasonable steps to protect personal information and handle it in accordance with applicable privacy and data-protection requirements.

Please refer to our Privacy Policy for further information about the collection, use, storage, and protection of personal information.
